This position’s primary place of work is located at our beautiful location in the heart of Boulder, Colorado. You will love coming to work at this historic building in near CU Boulder’s campus and close to 29th Street Mall and Pearl Street. The location provides convenient access from Boulder’s surrounding cities and has onsite parking.

The Wellness Coordinator serves as the first contact for potential clients via telephone, electronic communication and the occasional walk-in. The Wellness Coordinator assists in booking appointments with the clinical staff of therapists at the Center. The Wellness Coordinator follows the Center’s client appointment setting protocol and policies including scheduling with therapists and determining appropriate fit for services.

Job Description

The Wellness Coordinator requires a passion for female empowerment, confident phone conversation skills, optimistic and outgoing personality, and the ability to work with a team of other Wellness Coordinators in order to provide customer service at the high standards of the Center. Attention to detail, follow-through, multitasking, and consistent reliability is a must.

Essential Job Functions

  • Operate a phone
  • Operate electronic communication software (phones calls, emails, texts)
  • Check, distribute and return voicemail
  • Return phone calls to prospective clients
  • Operate a computer
  • General Front Desk Reception duties
  • Data entry
  • Work with office management and scheduling software programs
  • Accurately schedule, change, cancel, coordinate, and confirm client appointments
  • Schedule and instruct clients on preparation for appointment
  • Verify and update clients’ billing and intake information
  • General administrative support as needed
  • Human resources administrative support as needed
  • Review and meet ongoing competency requirements of the role to maintain skills, knowledge and abilities to perform, within scope of the role and specific functions

    • Proficiency in Google Office Suite (Gmail, Docs, Sheets) Microsoft Office Suite (Excel, Word)
    • Ability to learn and manage our client management software
    • Hands-on experience with office equipment (e.g. fax machines, printers)
    • Professional attitude and appearance
    • Solid written and confident verbal communication skills
    • Ability to be resourceful and proactive when issues arise
    • Excellent organizational skills
    • Multitasking and time-management skills, with the ability to prioritize tasks
    • Customer service attitude

    Preferred:

    • Two years customer service, phone sales, healthcare intake experience and/or Associates or Bachelor’s degree in related field
    • Experience in Sales and/or the Mental Health field

    Pay: $20.00 – $23.00 per hour
